Successful PMO Planning Day – 20TH MARCH 2012

The biannual Project Management Office Planning day was recently held at the East Banquet Hall, Clayton campus. A French theme was chosen for the day and staff were asked to come wearing blue, white and red and served French style cuisine during the event.


The day was a chance for PMO staff to bond in a relaxed environment but also share ideas and discuss topics such as 2011 wins, changes to our PM@Monash project methodology, Change Management and Program Management. Guest speakers included CIO Dr Ian Tebbett who spoke about future directions and Applications Manager Wayne Mays and Portfolio Manager Mark Whitty who spoke about testing.

The day concluded with discussions about Strategic Initiatives and a look at what lies ahead for the team. It was a productive and fun day for all and the team looks forward to the next one planned for November 2012.

April Message from the CIO

Thank-you to all of you who were able to make it to the eSolutions Townhall on 3 April 2012. It was a great opportunity to hear from other eSolutions team members and answer some of your questions.

_b108579_low resCongratulations once again to the receivers of the I Contribute Awards. These awards are an opportunity to recognise eSolutions colleagues who demonstrate exceptional performance, make an exceptional contribution to the eSolutions vision, whilst demonstrating our values. I encourage all of you to take the time and have a look at the I Contribute article in this edition of NewsBytes.

This quarter has also seen the launch of an extended quarterly performance reporting regime. As well as improvements to the Service Management Report, we have also introduced a new report for the ICT Strategic Investment Programme.  This additional report is structured by each portfolio area and provides an outline description for each project/programme and a dashboard covering financials, key risks, issues and milestones.  Please remember the reports summarise the performance of the whole department; they are provided to the Senior Management of the University and the full reports are retained on the eSolutions Monash Staff and eSolutions only intranet sites – link.

We certainly are now well into a busy and challenging year, especially with our ongoing commitment to continue supporting the University’s Monash Futures agenda, including Improved Services and the strategic plans for Research and Education. However, l am confident that eSolutions is well placed to respond with great people and constantly improving systems and services.

Our priority will be to continue to deliver the best service we possibly can to all our customers and l welcome any feedback you may have to help us to keep improving throughout the year.

I Contribute Awards

During 2012, the Office of CIO (OCIO) began developing a new approach to our performance and professional development.  The resultant Programme will be called I Contribute.  The first element of this Programme, our recognition awards, were introduced at the April eSolutions Town Hall.

The I Contribute Awards will recognise and reward examples of exceptional performance that also make an exceptional contribution to achievement of the eSolutions vision whilst demonstrating the values and behaviours we wish to encourage.  The I Contribute Awards will acknowledge the contribution our staff make to supporting the eSolutions vision, and thereby, the University’s goals and objectives.

Nomination Process

Any eSolutions staff member may nominate individuals or teams for their exceptional performance and contributions.  Submissions should be no more than two A4 pages, include the following details, and address the following criteria:

  • Staff/s name, title, and team name
  • Nominator/s
  • Performance for which staff is/are nominated
  • The case for an I Contribute Award including:
    • The opportunity/challenge addressed
    • The specific actions taken
    • What was achieved, supported by evidence of the outcomes, how the outcomes support realisation of our vision, and analysis of what led to the results
    • How the outcomes were achieved, including how the staff/team approach to the issues at hand demonstrate our values

Joint submissions from two or more areas of eSolutions will be well regarded, as will those that include evidence of high-levels of customer satisfaction with the results.  Submissions must include a supporting statement from the relevant CIO Direct Report/s to whom the individual/s or team/s report.

Award Process

Nominations should be sent to (Director of OCIO) at any time and will be evaluated jointly by Michelle King and Ian Tebbett (CIO).  The OCIO can also encourage nominations.  Nominations will be considered on a monthly basis.


Recipients will receive a small gift to the value of $100 and, where relevant, development opportunities related to their contribution.  Recipients will receive a personal letter from the CIO.  Rewards will be announced in NewsBytes and at Town Hall meetings in order to publically recognise these exceptional contributions.  Recipients’ Managers will be encouraged to hold further local celebrations with recipients and their teams.

Wellbeing team update: Just a special Taste of Harmony

Do you love to cook? Want to share some food from your home land? Then come along to a lunch-time gathering and bring either a plate of food to share or a $5 donation for Oxfam Australia.


Juice and fruit will be provided and this event is a wonderful opportunity for staff to come together and celebrate our varied cultural backgrounds. There will be a number of lunches at different locations throughout the week of 14th to 18th May:
